Using Policy Templates

Customizing a Template

  1. Select a policy template from the library.
  2. Review the default content — templates include standard industry language.
  3. Replace placeholder text (often shown in brackets) with your company-specific details.
  4. Adjust terms, procedures, and contacts to match your organization.
  5. Have your legal team review customized policies before distribution.

Distributing Policies

After customizing your policies, you can distribute them through several channels:

  • Onboarding packets — Include policies in new hire onboarding documents
  • Employee handbook — Compile policies into a comprehensive handbook
  • Email distribution — Send policies to existing employees
  • Document requests — Use SmoothHiring's Onboarding document collection to have employees acknowledge policies

Important: Policy templates are provided as starting points and general guidance. Always have an employment attorney review your policies to ensure they comply with applicable federal, state, and local laws in your jurisdiction.

Policy Template Best Practices

Writing Effective Policies

  • Be clear and specific — Avoid vague language that could be misinterpreted
  • Use plain English — Policies should be understandable by all employees
  • Include effective dates — Note when the policy takes effect and when it was last updated
  • Define key terms — Clarify any technical or legal language
  • Specify consequences — State what happens when a policy is violated
  • Include contact information — Tell employees who to contact with questions

Maintaining Policies

  • Review annually — Laws and best practices change regularly
  • Track acknowledgments — Maintain records of employee policy acknowledgments
  • Update promptly — When laws change, update policies and redistribute
  • Communicate changes — Notify employees whenever policies are updated
