Managing Active Job Postings in SmoothHiring
Once you've created and posted a job in SmoothHiring, you have a full suite of tools for managing, monitoring, and updating your job postings throughout their lifecycle. This guide covers everything you need to know about managing your jobs from active posting through expiration and reposting.
Navigating Your Jobs
Go to Jobs in the left sidebar to access your job management dashboard. Jobs are organized into tabs by status:

| Active | Currently live jobs accepting applications. These are distributed across job boards and your careers page. |
| Draft | Jobs you've started creating but haven't completed or published yet. |
| Expired | Jobs that have passed their 30-day active period or been manually stopped. |
| Template | Reusable job templates without location-specific details. |
| Internal | Jobs created for internal assessments and team evaluations, not posted to external job boards. |
Each tab displays a count badge showing the number of jobs in that status.
Jobs List Views
SmoothHiring offers two ways to view your job listings:
- Table View — A compact, spreadsheet-style layout showing key columns: Title, Hiring Manager, City, State, Start Date, and Job ID. Columns can be sorted by clicking the header. The Title and Start Date columns support ascending/descending sorting.
- List View — A card-based layout with more visual detail for each job, including candidate counts and quick-action buttons.
Use the layout toggle in the toolbar to switch between views. You can also search for specific jobs using the search bar at the top.
Job Summary Panel
Click on any job row to expand the Job Summary Panel, which provides a comprehensive overview without leaving the jobs list. The summary panel includes several tabs:
Overview Tab
Displays at-a-glance information including:
- Job Code — The unique identifier for your posting
- Employer Name and Company
- Hiring Manager name
- Location details
- Total Applicants count
- Invite URL — A shareable link candidates can use to apply
- Applicant Distribution — A breakdown of candidates by fit type (Strong Fit, Good Fit, Fair Fit, Weak Fit, Distortion, Unavailable)
Performance Tab
Shows job posting performance metrics including visit counts, application rates, and candidate pipeline data.
Job Links Tab
Displays direct links to your job posting across all active job boards. The table shows each job board name alongside its live URL. Links are updated on a rolling basis after posting, and your jobs are distributed automatically and immediately.
Note: If links are still being generated, you'll see a message indicating that the team is updating your links. In the meantime, you can find your postings via a Google search.
Assessments Tab
Configure which behavioral and skills assessments are attached to this job and whether they should be automatically sent to applicants.
AI Auto-Stage Tab
Enable AI-powered automatic candidate staging. When enabled, the AI evaluates each new applicant against your job criteria and automatically moves them to the appropriate pipeline stage.
Fingerprint Profile Tab
View and manage the behavioral "fingerprint" profile associated with this job role. The fingerprint profile is used to assess candidate personality and behavioral fit.
Advanced Settings Tab
Access advanced configuration options:
- Scorecard Template — Assign an interview scorecard template to standardize candidate evaluations. Toggle whether scorecards are mandatory before advancing candidates.
- Publish to Careers Page — Control whether this job appears on your company's public careers page. Active jobs are automatically shown for 30 days, but you can keep them visible past expiration by enabling this setting.
- Auto Job Post — Automatically repost the job when it expires, ensuring continuous candidate flow. Configure carry-over settings and bundle selection. (See details below.)
Stage Timeline Tab
Visualize how candidates progress through your hiring stages for this specific job.
Job Actions
Every job has a set of available actions accessible via the three-dot menu (⋮) on each job row. Available actions vary by job status:
Actions for Active Jobs

| View Applicants | Navigate to the applicants pipeline for this job |
| Invite Applicants | Send email invitations to potential candidates to apply |
| Stop Hiring | End the job posting early. Candidates can no longer apply, and you'll need to pay for a new posting to restart. A confirmation dialog warns you before proceeding. |
| Edit Job | Modify the job details, requirements, description, or settings. Takes you back to the job creation wizard. |
| Copy Job | Duplicate this job to create a new posting with identical details. The copy opens in edit mode so you can make adjustments. |
| Job Description | View the full formatted job description in a dialog. |
| Share This Job | Open the social media sharing dialog to post on LinkedIn, X (Twitter), or Facebook, or invite applicants via email. |
| Program Overview | View the complete program hub for this job, including all associated assessments and evaluations. |
| Cohort Report | Generate a comprehensive cohort analysis report for all candidates in this job. |
| Publish/Unpublish from Careers Page | Toggle whether the job appears on your public careers page. |
Actions for Draft Jobs

| Edit Job | Make changes to the job details. You'll be warned that editing carries applicants to the new posting. |

| Re-post this Job | Create a fresh posting based on this job. You can choose to carry over applicants or start fresh. |
| Job Description | View the description |
| Program Overview | Access the program hub |
| Cohort Report | Generate reports |
| Publish to Careers Page | Keep the job visible on your careers site even after expiration |

Auto Job Post
Auto Job Post automatically reposts your job when it expires, ensuring you never have a gap in your recruiting efforts. This feature is available for active jobs only.
Configuring Auto Job Post
- Expand a job's summary panel and go to the Advanced Settings tab
- Toggle Auto Job Post to enabled
- Configure the settings:
- Carry Over Applicants — Choose whether existing applicants transfer to the reposted job
- Include Sponsored Postings — Whether to include paid/sponsored bundles in the automatic repost
- Bundle Selection — Choose which posting bundles to use for the automatic repost
- Notification Lead Days — How many days before expiration you'd like to be notified (default: 2 days)
Requirements
- A saved payment method must be on file for automatic billing
- Auto Job Post is only available for jobs in active status
- Draft, internal, and expired jobs cannot have Auto Job Post enabled
Repost Preview
The Advanced Settings tab shows a preview of what your automatic repost will include:
- Which bundles will be used
- The total charge amount
- Whether any inventory credits will be applied
- The estimated repost date
Publishing to Your Careers Page
Your careers page is a branded landing page where candidates can browse and apply to your open positions. Managing careers page visibility:
- Active jobs are automatically published to your careers page during their 30-day active period
- Use the Publish to Careers Page toggle in Advanced Settings or the job actions menu to manually control visibility
- Published jobs remain on your careers page even after the 30-day expiration, giving you extended visibility
- Unpublishing removes the job from the careers page but does not affect its status on external job boards
Job Lifecycle
Understanding the typical lifecycle of a job posting in SmoothHiring:
- Draft — Job created but not yet completed or paid for
- Active — Job is live, posted to job boards, accepting applications (30-day period)
- Expired — The 30-day posting period has ended, or the job was manually stopped
- Reposted — An expired job that has been renewed (either manually or via Auto Job Post)
Each stage transition may trigger notifications to the hiring manager and account administrators.
Bulk Operations
From the jobs list, you can perform operations across multiple jobs:
- Export your job listings as CSV or Excel files for external reporting
- Share your jobs list via email
- Search and filter to find specific jobs quickly
