Managing Your Notification Settings
Managing Your Notification Settings
The Notifications feature in SmoothHiring allows you to configure how and when you receive alerts about hiring activities. Notifications keep your team informed about candidate actions, interview updates, and pipeline events without having to constantly check the platform.
Overview
Notifications ensure you never miss important hiring events. SmoothHiring's notification system is designed to keep recruiters, hiring managers, and interviewers informed about relevant activities in real time.
Note: The full Notifications settings feature is currently under development. The notification preferences configuration page will be available in a future release. Currently, notifications are handled through the pipeline automation system and built-in system alerts.
Current Notification Capabilities
While the dedicated notifications settings page is being built, SmoothHiring provides notifications through several existing mechanisms:
1. Pipeline Action Notifications
The Custom Hiring Pipeline allows you to configure email notifications as stage actions:
- Email actions on any stage can notify team members when candidates enter that stage
- Scorecard actions send notification emails to assigned interviewers when a scorecard is created
- Assessment actions send invitation emails when candidates are assigned assessments
2. Scorecard Notifications
When configuring a scorecard action in the pipeline, you can specify:
- Notification Emails — Comma-separated email addresses that receive alerts when scorecards are assigned or completed
- Auto-created submissions — Preselected interviewers receive automatic email notifications when they have a pending scorecard to complete
3. Email Campaign Notifications
Email campaigns provide notification-like functionality for bulk candidate communication. See Email Campaigns.
4. In-App Alerts
The platform displays success and error alerts for key actions such as:
- Template created/updated/deleted
- Campaign sent successfully
- Criteria saved
- Form saved
Planned Notification Features
The upcoming Notifications settings page will allow you to configure:
| Feature | Description |
|---|---|
| Notification channels | Choose between email, in-app, or both for each notification type |
| Event-based alerts | Get notified when specific events occur (new applicant, interview scheduled, scorecard completed) |
| Role-based preferences | Different notification defaults for administrators, recruiters, hiring managers, and observers |
| Frequency controls | Real-time, daily digest, or weekly summary options |
| Mute/snooze | Temporarily silence notifications for specific jobs or events |
Configuring Notifications Today
Until the full notification settings are available, you can control notifications through these approaches:
For Candidate Communications
- Navigate to the Custom Hiring Pipeline.
- Add Email actions to the stages where you want notifications sent.
- Use the CC and BCC fields to include team members who should be notified.
For Scorecard Assignments
- When configuring a scorecard action in the pipeline, add email addresses to the Notification Emails field.
- These addresses receive alerts when scorecards are assigned and completed.
For Interview Reminders
The Interview Reminders feature is coming soon and will allow you to configure automated reminders for upcoming interviews for both candidates and interviewers.
Best Practices
- Use pipeline email actions for team notifications. Add CC or BCC addresses on stage email actions to keep hiring managers informed of candidate progression.
- Configure scorecard notification emails. Ensure the right people are notified when scorecards are assigned so evaluations are completed on time.
- Check the Email Inbox regularly. Until push notifications are fully available, use the Email Inbox to stay on top of candidate communications.
- Set up email forwarding. If you need real-time alerts, configure your email client to forward SmoothHiring notifications to your preferred channel (e.g., Slack via email integration).
