Managing Your Billing & Payments

SmoothHiring provides a comprehensive billing dashboard where account administrators and owners can manage payment methods, review payment history, download invoices, and track subscription charges. All payment processing is handled securely through Stripe.


Accessing Billing & Payments

  1. Navigate to Settings in the left sidebar.
  2. Click Account Settings.
  3. Select the Billing & Payment tab.

Note: The Billing & Payment tab is only visible to users with Admin or Owner roles. Team members with other roles will not see this option.


Billing Dashboard Tabs

The Billing & Payment section is organized into two tabs:

Tab Purpose
Saved Payment Methods View, add, and manage your credit/debit cards
Payment History View all past payments, invoices, and refunds

Saved Payment Methods

Viewing Saved Cards

Navigate to Billing & Payment → Saved Payment Methods to see all cards on file:

  • Card brand (Visa, Mastercard, Amex, etc.)
  • Last four digits
  • Expiration date
  • Default indicator for the active payment method
  • New indicator for recently added cards

Adding a New Card

  1. Click Add card (green button in the top right).
  2. A secure dialog powered by Stripe opens.
  3. Enter your card details:
    • Card number
    • Expiration date
    • CVC/CVV
    • Billing ZIP code
  4. Click Save.
  5. The card is automatically set as your default payment method.
  6. A confirmation notification appears: "Card saved and set as default."

Setting a Default Payment Method

If you have multiple cards on file:

  1. Find the card you want to make primary.
  2. Click Set as Default.
  3. The default card will be used for all future charges (subscriptions and one-time purchases).

Removing a Card

  1. Find the card you want to remove.
  2. Click the Remove action.
  3. Confirm the removal.
  4. A notification confirms: "Payment method removed."

Important: You cannot remove a card that is the only payment method on an active subscription. Add a new card first, then remove the old one.


Payment Security

SmoothHiring takes payment security seriously:

  • SmoothHiring does not store credit card information. All card data is managed securely by Stripe.
  • Stripe is a PCI-DSS Level 1 certified payment processor — the highest level of security certification.
  • All payment pages use encrypted connections (HTTPS/TLS).
  • A lock icon and security notice are displayed on all payment screens.

Payment History

Viewing Payment History

Navigate to Billing & Payment → Payment History to see all transactions:

The payment history table displays:

Column Description
Date Date the payment was processed
ID Unique payment identifier
Amount Payment amount and currency
Status Payment status (Successful, Failed, Pending)
Invoice Link to view the invoice or receipt
Created At Full timestamp of the transaction

Payment Status Indicators

Status Icon Description
Successful Green checkmark Payment was processed successfully
Failed Red error icon Payment failed (check card details or balance)
Pending Yellow pending icon Payment is being processed
Refunded Red replay icon Payment was partially or fully refunded

Viewing Payment Details

Click any row in the payment history to expand and see detailed information:

  • Payment ID — Unique transaction identifier
  • Amount — Total charge amount and currency
  • Status — Current payment status
  • Created — Full date and time of the charge
  • Last Updated — Most recent status change
  • Refund Details — If applicable, refund amount, date, and status

Downloading Invoices and Receipts

For each payment, you can access the invoice or receipt:

  1. Find the payment in the history table.
  2. Click the View Invoice or View Receipt link in the Invoice column.
  3. The invoice opens in a new tab (hosted by Stripe).
  4. From there, you can download or print the invoice for your records.

Tip: Download invoices regularly for your accounting records. You can filter by date and export payment history for bookkeeping purposes.

Pagination

If you have many payments, the history is paginated:

  • Use the page navigation controls at the bottom of the table.
  • Adjust the rows per page (10, 25, or 50) to your preference.

Understanding Your Charges

Subscription Charges

If you're on a subscription plan, you'll see recurring charges:

  • Monthly subscriptions are billed at the start of each billing cycle
  • Yearly subscriptions are billed once per year
  • Your renewal date is displayed in the Subscriptions section

One-Time Purchases

Some features may involve one-time charges:

  • Individual job posting purchases
  • Add-on features or upgrades
  • Credit purchases (for assessment customers)

Refunds

If a refund has been processed:

  • The refund appears as a separate line in payment details
  • Refund amount, date, and status are clearly shown
  • Both the original charge and refund are visible for full transparency

Troubleshooting

Failed Payments

If a payment fails:

  1. Check that your card has sufficient funds.
  2. Verify the card hasn't expired.
  3. Ensure the billing address matches your card's registered address.
  4. Try adding a new card and setting it as default.
  5. Contact your bank if the card is being declined.
  6. If issues persist, contact SmoothHiring Support.

Missing Invoices

If you can't find an invoice:

  1. Check the Payment History tab — use pagination to search through all transactions.
  2. Click on the payment row to expand details and access the invoice link.
  3. If no invoice link is available, contact support for a copy.
