An applicant is the HR record for a person you are considering for a job opening. The list shows the name, email, opening, and status.
Open the list
- In HR, under Recruitment, choose Job Applicant.
- You should see the title Job Applicants, a search box that says Search applicants..., and New Job Applicant.
- Columns are Name, Email, Opening, and Status.
If you have none yet, you should see “No job applicants yet” and “Track candidates through your hiring pipeline.” Choose New Job Applicant on that empty state.
Add an applicant
- Choose New Job Applicant.
- You should see New Job Applicant, with Applicant Name, Email, Phone, Job Opening, Status, Source, Rating, and Notes.
- Status is Open, Screening, Interview, Offered, Accepted, Hired, or Rejected. A new applicant starts as Open.
- Enter Applicant Name and Email, then choose Create Job Applicant.
- You should see “Job Applicant created.” The button changes to Save.
Start onboarding from an applicant
- Open a saved applicant.
- Choose Actions, then Start onboarding.
- You should land on a new Employee Onboarding record for that applicant.
Update or remove one
- Open the row, or choose Edit on the row.
- Change the fields and choose Save. You should see “Changes saved.”
- To remove it, choose Delete on the row. The dialog title is Delete Job Applicant, and the message is “Are you sure you want to delete this job applicant? This action cannot be undone.” Confirm Delete.
If something looks wrong
- “Applicant Name, Email are required” means those fields were empty. The applicant is not created.
- “No changes to save” means you chose Save without editing.
- “Save failed. Your edits are still here.” The applicant is not updated.
- “Job Applicant not found” with Back to list means that applicant is not on this company, or you cannot open it.
- “Could not delete job applicant” means the row is still there.
- Start onboarding appears only after the applicant is saved, under Actions.
The opening this person is tied to is a job opening. The later records are Offers and Interviews.
