Expenses are separate from pay. A salary slip is not created from an expense claim, and an expense claim is not created from attendance or from a published schedule.
Open Expense Claims in the left navigation, then Expense Claim. That is the list of claims. HR and the employee use the same screen: the Employee on the claim is the person who spent the money.
What a claim is for
The list is titled Expense Claims. An empty list says employees can submit expenses and finance can review and approve them. Columns are Employee, Posting Date, Claimed, and Status.
A claim moves through Draft, Submitted, Approved or Rejected, and Paid.
- Create the claim, add expense rows, and click Create Expense Claim.
- Click Submit.
- Click Approve or Reject.
- After approval, click Mark Paid when the reimbursement has been made. Mark Paid sets the status to Paid. It does not send the money by itself.
You can also start a claim from the employee record. Open the employee, then Connections, then Pay and expenses, then Expense claims, and use +. The tooltip says Add to expense claims. The new claim already has that employee.
Advances
An advance is money given before the expense is claimed. It is an Employee Advance, not a salary slip.
Open it from Desktop, under Payroll, Employee Advance. Or, on the employee record, open Connections, then Pay and expenses, then Advances, and use +. The tooltip says Add to advances.
A claim can list advances under Advances so a later reimbursement can account for money already paid. See Advances.
What you should see
- Expense Claim in the Expense Claims section of the navigation.
- Expense Claim and Salary Slip on Desktop among the shortcuts.
- Claims for one person counted on that person’s Connections panel.
What can go wrong
- Approve is missing. The claim has not been submitted, or it is already approved, rejected, or paid.
- Mark Paid is missing. The claim is not approved yet.
- The claim and payroll are updated in different places. Approving a claim does not generate a salary slip.
How to file one: Expense claims. Pay is Pay.
