Apps

Kivo is the assistant in the HR sidebar. Ask it to show a page from your HR records, or to save the current roster as a draft without publishing it.

Open Kivo

  1. In HR, choose Kivo in the sidebar. It sits with HR and Desktop.
  2. You should see the Kivo title and the line “Ask about people, time off, schedules, and hiring.”
  3. On an empty chat, the message box says Ask Anything, and these suggestions are ready to choose:
    • Who is on leave this month?
    • Show this week's coverage
    • Find employee Sam
    • Pending leave to review
    • Dashboard snapshot

Ask a question

  1. Choose a suggestion, or type in the box and send the message.
  2. You should see your message, then Kivo’s reply. While it is working, a status line appears, such as Working….
  3. On a reply, choose Copy to copy the text. Regenerate appears when that reply can be run again.
  4. The line under the box says Agent Can Make Mistakes. Double-Check Before Sending.

If you opened Kivo from an employee, a leave request, a department, an expense, a salary slip, or an onboarding record, that name sits above the message box. Clear record context removes it.

Open a page from the tools list

  1. In the chat list, choose Agent Tools.
  2. You should see the title Agent Tools, with groups People, Time, Pay, and People ops. Each row has Open.
  3. Choose Open on a row. You should see a card for that item.

These are the show and draft actions on that list. A card that changes records says “This updates records. Confirm on the card.” Choose Confirm before it updates anything.

People. Find people, leave, openings, or payroll records. Browse people on the roster. Open one employee profile. Browse departments. Browse job titles.

Time. Browse time-off requests, open one leave request, and show remaining time off or a PTO summary. Check dates and the balance impact of a request before it is submitted. Review attendance marks. Show who is scheduled this month, coverage, hours, and exceptions, and coverage gaps. Browse saved and published roster versions, and preview what restoring a version changes. Save the current roster without publishing it.

Pay. Open one salary slip. Open one expense claim.

People ops. Show a snapshot of headcount, time off, and open work. Show new-hire tasks that are still open, open one onboarding record, and browse onboarding checklists and onboarding records. Search saved HR files and notes. Show goals, feedback, and reviews in progress.

Save a roster draft

Ask Kivo to save the current roster without publishing it. You should see that roster saved as a draft. The draft is not published.

Chats

  1. The side list is labeled Chats.
  2. Choose New Chat to start a blank chat. If you have none yet, the list says “Start a new chat to see it here.”
  3. Choose a chat title to open it.
  4. To remove one, choose its delete control. You should see Delete Chat, with the message “This chat and its messages will be removed.” Choose Delete Chat to remove it.
  5. Hide Chats collapses the list. Show Chats brings it back.

If something looks wrong

  • “Could not load chats.” Choose Retry.
  • “Could not load this conversation.” Choose Retry.
  • “Could not load tools.” Choose Retry. If the list is empty, the dialog says “Tools load from Kivo.”
  • “Could not load agent models.” Choose Retry.
  • A tool card that cannot open says “Could not open this card.”

Company settings stay under Company settings. Kivo does not have its own settings screen. See Kivo in HR.
