A Leave Application is a time-off request. An employee sends it from the portal. A manager reviews it on Approvals. HR can also create and review it from Leave Application.

Employee: send a request

  1. Open Time off in the employee portal.
  2. Stay on Leave. The page subtitle is Request leave, or tell HR you were on duty or working from home. Attendance is a separate tab.
  3. Under Balances, each type shows days left. An unlimited type shows Unlimited. If a request is already waiting, you also see pending and projected days. The page says pending requests are not taken off your balance until they are approved.
  4. Choose a Leave type, a From date, and a To date. Turn on Half day when the first day should count as half. The helper says it counts as 0.5 on the From date. Add a Reason if you want.
  5. Read the line that says how many working days the request uses, and how many days would be left if it is approved.
  6. Choose Request time off.

You should see Leave application submitted. The request appears under Your requests with the dates, the type, the number of days, and a status of Pending.

Who's out lists other people on your team who are out in the next two weeks. When nobody is, it says Nobody else on your team is out in the next two weeks.

If the request does not send

Request time off stays off until a leave type and a From date are filled in. The caption tells you which one is missing.

A warning on the form also keeps the button off. Common messages:

  • No leave balance yet. Ask HR to allocate leave before you request time off.
  • No leave types available.
  • This leave period overlaps with an existing application.
  • This request has no working days.
  • Backdated leave requests are not allowed.
  • Insufficient leave balance, including the days still available after pending requests.
  • Leave cannot be applied on blocked dates.
  • This leave type is not included in the employee's assigned policy.
  • Ask HR to assign your manager or leave approver before requesting time off.
  • This request is longer than the protected hours still available.

If the server does not return one of those messages, the notice is Failed to apply leave. Nothing is added under Your requests.

Employee: cancel

On Your requests, Cancel appears while the status is Pending or Approved. After you choose it, the notice is Leave request updated. If that fails, the notice is Failed to cancel leave and the status stays as it was.

An approved request that has already started can show Taken. A request that has already been paid can show Consumed. A denied request shows Denied.

Manager: review on Approvals

Approvals is in the employee portal when you review other people's requests. The page says Requests waiting on you.

  1. Open Approvals.
  2. Choose Leave. The tab includes a count when someone is waiting.
  3. A waiting request shows the person, the dates, the type, the days, and the reason. Open Waiting and choose Approved or Denied.

When the person is asking to cancel time that was already approved, the dates say cancel request. Open Waiting and choose Cancel leave or Keep leave.

If nobody is waiting, the page says No leave waiting, with Time-off requests that need you will appear here.

If you do not see Approvals, your portal is the employee view only. Ask someone who reviews requests to open Approvals.

HR: Leave Application

Open Leaves, then Leave Application. The list is titled Leave Applications. Columns are Employee, Type, Approver, Start, End, and Status. Search uses Search leave applications...

An empty list says No leave applications yet and Submit and review time-off requests when employees need leave. Choose New Leave Application there. The dialog title is New Leave Application, and it says you can add the request without leaving the list.

Fill Employee, Leave Type, Start Date, and End Date. Policy, Half day, Half day date, Reason, and Leave Approver are on the same form. Leave Approver Name and Status are filled in for you. Status starts as Open. Choose Create Leave Application. You should see Leave Application created, and the new row appears on the list.

If a required field is empty, the notice names it and says it is required. The request is not created. If the save fails for another reason, the notice is Failed to save and the dialog stays open.

Open a row to edit it. The dialog says Edit this leave application here. Status stays read-only. Choose Save when you change dates or the reason. You should see Changes saved. Choosing Save with no edits shows No changes to save. If the row cannot be loaded, the dialog says This leave application could not be loaded.

Approve or deny from the list. While status is Open, the row offers Open, Approved, and Denied. The edit dialog keeps Status read-only.

  • Choosing Approved asks Approve request and Approve this leave application? Confirm with Approve.
  • Choosing Denied asks Reject request and Reject this leave application? Confirm with Reject.

The row then shows Approved or Rejected. If the decision fails, the notice is Could not approve this request or Could not reject this request. The status stays Open. A more specific message can appear instead:

  • You cannot review your own time-off request.
  • This leave request cannot move to that status.
  • This leave has already been paid and cannot be changed.
  • Insufficient leave balance, with the days available.

The status stays unchanged when the decision fails.

Status values you can see on this list are Open, Approved, Rejected, Cancelled, and Cancellation Pending.
