A signature envelope collects signatures from more than one person on the same template. Open Digital Signatures, then Signature Envelope.
You need an active signature template. Each signer’s Role must match a signer role on that template, usually Employee or Company.
Create the envelope
- Choose New Signature Envelope.
- Enter Title.
- Choose Signature Template.
- Set Routing to Parallel or Sequential. Everyone is emailed either way. With Parallel, each person can open the link. With Sequential, a later person who opens the link before the person above them has signed sees Waiting for a previous signer to finish. Row order is the signing order.
- Under Signers, choose Add Row. Enter Name, Email, and Role for each person. Status fills in after you send. An empty table says No rows yet.
- Choose Create Signature Envelope. You should see Signature Envelope created and status Draft.
Employee Onboarding and Onboarding Document Row stay empty unless this envelope was started from onboarding. Sent On and Expires On stay empty until you send.
Send the links
- Save any signer edits first.
- Choose Send for Signature. The button shows Sending… while it runs.
- You should see a sent confirmation. The first signer’s link is copied when the browser allows it, and the message includes how many links were created. Status becomes Sent. Each unsigned signer is emailed Please sign with a Sign document button.
Resend links is the same button once status is Sent or Partially Signed.
While people sign
- Partially Signed means at least one person has opened or signed, and someone is still outstanding.
- Each signer row moves from Pending to Viewed, then Signed.
- Fully Executed means every signer has signed. A Signing certificate appears for each person who has one, titled with their name.
- Declined means a signer declined. That signer’s row shows Declined, and the envelope status shows Declined.
- Send for Signature is hidden when status is Fully Executed, Cancelled, or Expired.
Submit on a saved envelope shows Submitted. After that, Cancel replaces it and shows Cancelled. The status next to the title stays Sent, Partially Signed, Fully Executed, or Declined.
If it fails
- Add at least one signer before sending means the Signers list is empty. Add a row, save, and send again.
- Each signer needs a name and email means a row is incomplete.
- This template has no fields for signer plus an email means that person’s Role does not match a field on the template. Change the role or add that signer role on the template, then send again.
- Send failed means no new links went out. The envelope stays in its previous status.
- A sequential signer who opens too early sees Waiting for a previous signer to finish. They can return after the person ahead of them has signed.
- Envelope already fully executed means you do not send again. The status should already read Fully Executed.
