A signature request asks one person to sign one template. Open **Digital Signatures**, then **Signature Request**.

You need an active [signature template](/hrms/documents-compliance/signature-templates) with at least one signing field.

## Create and send

1. Choose **New Signature Request**.
2. The hint says **Save the request before sending the signing link.**
3. Choose **Signature Template**. Enter **Signer Name** and **Signer Email**. These are required. **Employee** is optional.
4. **Status** stays blank until the request exists. Choose **Create Signature Request**.
5. You should see the signer’s name as the title and **Signature Request created**. Status is **Draft**.
6. Choose **Send for Signature**. The button shows **Sending…** while it runs.

You should see **Signature request sent**. Status becomes **Sent**. A read-only link appears. Choose **Copy link** and you should see **Signing link copied**. **Sent On** and **Expires On** fill in from the template’s expiry days.

The email the signer gets is **Please sign** with the document title, and the button is **Sign document**. They follow [Signing a document](/hrms/documents-compliance/signing-portal). They do not need an account.

## After they open it

- **Viewed** and **First Viewed On** mean they opened the link.
- **Signed** and **Signed On** mean they submitted. A **Signing certificate** appears with **Signed at**, **IP address**, **Timezone**, **Language**, and **Location**. Location can say **Not captured** when the device did not share it.
- The send button becomes **Resend link** while status is **Sent** or **Viewed**. It is hidden once status is **Signed**.
- **Declined** means the signer chose **Decline** and entered a reason. That reason is stored with the request.
- **Submit** is on a saved request that has not been submitted yet. You should see **Submitted**. The signing status chip stays **Draft**, **Sent**, **Viewed**, or **Signed**. After that, **Submit** is replaced by **Cancel**. **Cancel** shows **Cancelled**. It does not change the signing status chip.

## If it fails

- Create stops when **Signature Template**, **Signer Name**, or **Signer Email** is missing. The screen names the required fields.
- **Send for Signature** is not on a new unsaved request. Create it first.
- **Send failed** means the email and link were not sent. Status stays where it was. Check the template has signing fields, then choose **Send for Signature** or **Resend link** again.
- **Could not copy link** means the link is on the screen and the clipboard did not take it. Select the link and copy it yourself.
- **Save failed. Your edits are still here.** means the last edit was not stored.
- **Expired** means the link passed **Expires On**. Send again only if **Resend link** is still available. A cancelled or expired link tells the signer it is invalid or expired.
- An empty list uses **New Signature Request**.
